What time will this be? From 11-12:15, at which time they are served a lunch.

Can I serve them food? Yes, this always works to encourage them to come earlier than usual - but know that they will get lunch soon after your program is over, so you don't want to serve too much.
What is the space like where I will be working? It's a pretty big space with a number of round tables, around which they will be seated in groups of 5
